Overview

Use this guide to run a quick, repeatable monthly (or quarterly) cleanup of your STRINGConnect contacts and opportunities. It helps you maintain accurate records, prevent duplicates and reporting issues, and keep ownership and pipeline stages up to date.

Regularly cleaning your STRINGConnect data, helps to keep your client records organized and gives you an opportunity to spot potential errors before they spiral into a big clean up job. We recommend a monthly sweep if you have a lot of activity in your account. Smaller accounts can do a quarterly sweet instead.

CONTACT CLEANUP CHECKLIST

1. Identify and Merge Duplicates

• Merge exact email duplicates
• Merge contacts with:
  • Same name + same company
  • Same email but different casing (e.g. JOHN@ vs john@)
• Resolve duplicates created by:
  • Form fills
  • Manual imports
• Keep the record with:
  • Most recent activity
  • Most complete data

2. Email & Deliverability Health

• Remove or suppress:
  • Hard-bounced emails
  • Invalid formats (missing @, typos like gmial.com)
• Flag or review:
  • Role-based emails (info@, admin@, support@)

3. Required Field Completion

Fill or flag missing:

• First Name or Last name
• Email
• Phone
